Policies

Parking

  • Due to limited space, we can make only two parking spaces available per cottage.

Reservations

  • We require a deposit of $500.00 per cottage, you do not have a reservation unless your deposit has been received and confirmed by us.
  • The total reservation amount is required 30 days prior to arrival.
  • In case of unforeseen circumstances, if we are unable to host you, your deposit will be fully refunded immediately.

Cancellations and refunds

  • For cancellations 60 days or more from the arrival date, the deposit will be fully refunded, less a $100 administration fee.
  • Cancellations made less than 30 days prior to the arrival date are non-refundable.

Payment

  • Your deposit and payment can be sent to us via e-transfer to support@hbcottages.net. Alternately, we can also send you an e-transfer request from our account.
  • The same payment method would be used for the full amount, which is due 30 days before your arrival.

No Shows

  • Guests, not showing up at the pre-arranged time and date without giving notice by phone constitute as “no shows” and will be held liable for 100% of the total value of their reservation.

Check-in / Check-out

  • Check in time 3:00p.m. Check-out time 10:00a.m.
  • If you arrive sooner, please be prepared to wait. Due to cleaning schedules, there are no options for late checkout.

Restricted Items

  • NO firearms or jet skis.

Fireworks & Camp Fires

  • NO fireworks at ANY time – We are surrounded by forests with very dry trees. Just a spark is enough to start a forest fire. And our Wardens are quick to respond with fines an  and arrests!
  • Camp fires are permitted in the designated fire pits – subject to any fire bans. (https://www.ontario.ca/page/forest-fires)

Visitors

  • Visitors are restricted during your stay, and absolutely no overnight visitors are allowed.
  • The number of people on the premises is limited to the number of people registered during booking for each cottage

Liability

  • Hartley Bay Cottages and their owners will not be held liable for any damages, injuries or losses incurred by our guests while on our premises or while operating using kayaks, canoes or while swimming.
  • Guests are responsible for the actions and safety of their children and pets.

Facilities

  • Facilities offered at Hartley Bay Cottages are for the exclusive use of our registered guests and used solely at their own risk.
  • We do not employ a lifeguard therefore please supervise your children accordingly.
  • There are many trails to be enjoyed in and around the neighborhood. Please exercise normal carefulness while enjoying these.

Damages

  • Guests are fully responsible for all damages and losses to cottage amenities, canoes, kayaks and other equipment, however caused.
  • All damages to Hartley Bay Cottages property and/or malfunctioning equipment must be reported immediately.

Noise

  • For the enjoyment of all concerned, music played outside your cottage should be kept at a reasonable volume – in consideration for other guests.
  • ALL QUIET FROM 11:00PM TO 8:00AM. Excessive noise will not be tolerated at any time.

Cleanliness

Thank you for your thoughtfulness and consideration in leaving the cottage (inside and out) clean and tidy, as it was upon your arrival.

  • Insects and wildlife are a part of cottage country. Please discourage them by keeping doors closed.
  • Please do not use your cottage to clean fish. There will be a $150 fee if fish is cleaned in the cottage.
  • Each cottage has a broom, dustpan, mop, dish soap and cleaning products (under the kitchen and/or bathroom sinks). If any products run out during your stay, please let us know so we can replace them.
  • Please clean any spills in the oven, fridge or microwave.
  • OUR SEPTIC SYSTEM IS VERY SENSITIVE. Be careful not to wash food remains down the drain. Please throw any kitchen scraps into the garbage.
  • To simplify the inventory process, please return any kitchen items back to where you originally found them.
  • All guests are expected to leave cottages tidy at time of departure.

Smoking

  • We thank you in advance for not smoking in the cottages. Our cottages are smoke-free zones, electronic or otherwise.
  • This is important to us in order to keep our property in the best condition possible.
  • You are welcome to smoke outside but please do not throw cigarette butts onto the property.
  • If any excessive cleaning is required after your departure or there is evidence that guests were smoking in the cottage, a $350 +HST charge will apply.

Pet Policy

Well behaved Pets are welcome at our cottages! If you’re staying here with your furry friend, there are some things we’d like you to help us out with to ensure a smooth stay for everyone.

  • We know you love your pet, but we ask that you please don’t let them up onto the furniture (sofas and beds). If you are not able to keep them off, please being covers to protect our furniture.
  • Guests are responsible for cleaning up after their pets.
  • Ensure to supervise your pets at all times.
  • Pets are not to be left unattended inside the cottage unless crated.

Garbage & recycling

We like to do our bit for the environment, and we ask that our guests do the same!

  • Please minimize garbage if possible and separate your garbage and re-cycling in the bins provided. Acceptable items for recycling include:
    • Paper/Aluminum cans
    • Glass bottles and jars (lids removed)
    • Plastic containers | Beer cans
    • Staff take out the garbage & recycling at the end of your stay. If they are full, please tie up the bags and place in shed.

Septic system

  • Please do not flush any items other than toilet paper down the toilet.
  • Trash cans have been provided in all washrooms for paper towels, tissue, tampons, pads, hair, etc.

Heaters / Air-conditioners

  • To help the environment, please ensure that all windows and doors are closed when heaters or air conditioners are in use.
  • Turn off heaters and air conditioners when you are not inside of your cottage in order to preserve energy.

Campfires

It’s always nice to relax around a campfire on a fine summer evening. Provided that there is no ban on outdoor fires, we encourage you to enjoy your campfire safely, by following a few basic rules.

  • Be aware and check if there are any restrictions/bans on Wood or Charcoal fires due to Forest fires
  • Don’t make a campfire on windy days.
  • Keep the fire in the fire pit, and at an average height.
  • Keep an eye on the fire and DO NOT leave it unattended.
  • Before walking away, make sure the fire is out and the ashes are cold.

Waterfront

NO LIFEGUARD ON DUTY – THIS IS AN UN-SUPERVISED AREA 

  • Children under 12 MUST be accompanied by a guardian, not less than 16 years old at all times
  • NO diving off of docks
  • NO running on the docks
  • While swimming and boating, be cautious of boat traffic
  • Never swim alone
  • Never swim at night
  • All water activities are at users’ own risk
  • Wear a life jacket at all times on all watercraft
  • Cold water can result in hypothermia
  • Stay out of the water during stormy weather
  • Do not bring glass containers on to the water’s edge

Railway Tracks

  • Do not walk down the railway tracks that are up ahead on Hartley Bay road. Apart from being dangerous, it is also illegal and you could be arrested!
  • For those of you with pets, keep the little friends safe at night. Do not let them wander about. There is crown land all around, and with that comes wildlife – bears and wolves. Dogs do not stand a chance against wolves.
